- Sending emails via the Gmail API on behalf of users
- Tracking email opens and link clicks

- Ensuring security, stability, and abuse prevention
5. Legal Basis for Processing
Data processing is based on the following legal grounds under Article 6 GDPR:
- Article 6(1)(b) GDPR – performance of a contract
- Article 6(1)(f) GDPR – legitimate interests (security, service improvement)
- Article 6(1)(a) GDPR – consent, where applicable (e.g. newsletter)
- Article 6(1)(c) GDPR – legal obligations (e.g. tax retention requirements)
6. Email Tracking and Content Processing
Trackable processes email-related data exclusively on behalf of its users.
Email opens are detected using a technically required, invisible tracking element. Link clicks are tracked via redirect links that immediately forward recipients to the intended destination.
Where users enable AI-based features (such as automated follow-up suggestions), email content is temporarily processed in order to generate the requested output. Email content is not used for training AI models.
7. Use of Artificial Intelligence (OpenAI)
For AI-powered features, Trackable uses services provided by OpenAI.
- Email content is processed temporarily for the purpose of generating AI-based responses or suggestions
- Data is not used for model training
- Processing is limited to what is necessary to provide the requested feature
8. Google Services and Gmail API
Trackable uses the Gmail API to send emails on behalf of users.
Depending on the permissions granted by the user, this may include access necessary to send emails and, where required for specific features, access to email content. Trackable does not use Google data for purposes other than providing the service.
9. Payments and Subscriptions
Payments and subscription management are handled exclusively by Stripe.
Trackable does not store credit card numbers or payment credentials. Payment data is processed directly by Stripe under its own privacy policies.
10. Cookies and Tracking Technologies
Trackable currently does not use cookies for tracking purposes.
If this changes in the future, this Privacy Policy will be updated accordingly.
11. Hosting and Infrastructure
Trackable uses third-party infrastructure providers, including:
- Render (application hosting)
- Supabase (database services)
Data may be processed on servers located within or outside the European Union. Where applicable, appropriate safeguards are used to ensure an adequate level of data protection.
12. Data Retention
Personal data is retained:
- For the duration of the user account
- Until deletion is requested by the user
- As required to comply with legal retention obligations (e.g. tax and accounting laws)
